Any event takes planning and committment, the person planning the event must be fully committed to its success. If you are the one planning the event you must keep in mind that your reputation can rise or fall based on the success of the event.

Unless you are an experienced event planner, do not be afraid to enlist the help of colleagues or friends to work with you and brainstorm for the planning and organisation of the event.

Here are the basic considerations which you must consider before you can know how to plan a corporate event.

  • What is the purpose of the event and main focus of the event?
  • What is the goal and benefits or advantages that your company wants acheive by holding the event?
  • Brainstorm ideas on how you can best accomplish your goals?
  • When is the best time to hold this event?
  • How many people will be be at the event?
  • What is the best locality to host the event?
  • What venues in the desired locality can comfortably cater for the number of people on the day and at the time you want to hold the event?
  • What is the event budget? 
  • Is the budget sufficient to run a successful event? If there is not enough budget don't give up - instead brainstorn on what you can do to raise the additonal money required such as
    • sell sponsorships (used by all charities)
    • offer advertising or benefit to your suppliers
    • sell tickets to the event
    • run a raffle
    • screen a movie and sell tickets or some big screen advertising (this is easier than you think and the production costs can be nill). You may even be able to get the people that you hire the movie package from to produce a couple of adds for you for no extra cost.
    • Hold an Auction on the night for a major donated prize such as an autographed football or jersey.

Note: All of this and many more must be known before an effective successful event can be planned.

Here are the some of the steps you need to take to establish a plan for your event and ensure the overall success of your event.

  1. Understand the purpose and establish a set of goals for the event.
  2. Determine what is necessary to achieve the goals and create a budget.
  3. Agree on a suitable date for the event. (make sure that it does not coinside with major sports events etc. as this will imact significantly on the attendance of your event.
  4. Create a guest list and plan how many people will be at the event.
  5. Decide what entertainment you will have at the event (big screen, music, band etc)
  6. Agree on the locality and check to see what venues are available in the chosen locality on the chosen date that have sufficient space or catering for the number of guests and have room as well for your planned entertainment.
  7. Inspect the available venues and choose the one most suitable to your needs and budged.
  8. Make a list of any audio visual and sound equipment that you will need (lectern, PA System, microphones, projector, projection screens, flipcharts, whiteboards, plasmas or whatever else you might need).
  9. Make sure that the equipment you need is matched to the size of the audience and is the best fit for the proposed environment (especiallly the type and size of the screen, the projector strength and type and PA system power).
  10. Now you are ready to make a reservation at the most suitable venue for your event.
  11. Identify possible sources of funding and begin to request money for the event.
  12. Reserve the proper resources, equipment, and personnel necessary for the event.(steps 3, 4, and 5 should happen at about the same time)
  13. Publicise the event.
  14. Host the event.
  15. Follow-up from the event.
